What you'll accomplish
Right now, every inquiry reply means re-explaining your packages, your prices and your voice from scratch, even though you have answered nearly the same question dozens of times before. A Claude Project holds that information permanently, so you paste in a new inquiry and get back a reply and a quote in one pass instead of retyping context every single time.
What you'll need
What you should see: An empty project workspace with a place to add knowledge and a place to start chatting. Troubleshooting: If you do not see a Projects option, confirm your account is on Pro rather than a free account, since project knowledge storage needs a paid plan.
What you should see: Your uploaded documents listed inside the project, available to every conversation you start there. Troubleshooting: If a document does not seem to be used in a reply, check that it uploaded fully and try referencing it by name in your next message ("using the price list I uploaded").
What you should see: The instructions saved and visible whenever you open the project. Troubleshooting: If replies still sound generic after this step, add a specific example reply rather than a general description. Claude follows an example more closely than an adjective.
This step matters every single time you use the project, not just during setup.
What you should see: An inquiry pasted into the chat that reads naturally but no longer contains anything that would identify the specific couple, family or venue. Troubleshooting: If the reply needs the real date or location to make sense (a travel quote depends on distance), add those details back in after Claude drafts the reply, once you are working outside the shared project thread.
What you should see: A reply that references your actual package names and prices correctly, in a tone that sounds like you rather than a form letter. Troubleshooting: If a price or package name comes out wrong, check that your price list document is current. Claude only knows what you uploaded, and an outdated price sheet produces an outdated quote.
First reply to a new inquiry:
Here's a new inquiry from a client asking about [session type]. Draft a warm first reply that answers their question and includes pricing for the package that best fits what they described.
Formal quote for a specific package:
Draft an itemized quote for the [package name] package, including any add-ons the client mentioned: [list add-ons]. Use my current pricing.
Follow-up after no response:
It's been [number] days since I sent a quote to a client and I haven't heard back. Draft a short, low-pressure follow-up that doesn't sound pushy.
Answering a pricing objection:
A client said our pricing feels high compared to what they've seen elsewhere. Draft a reply that explains what's included in our packages without sounding defensive.
Comparing two packages for an undecided client:
A client is deciding between the [package A] and [package B] packages. Draft a reply that lays out the difference clearly so they can choose.
