What This Does

Camera gear, editing software subscriptions, venue location fees, print lab invoices, mileage. A month of receipts and card transactions all need a category before your books are usable at tax time. QuickBooks Online's auto-categorize feature learns from vendors and categories you have used before and sorts new, familiar transactions into the right bucket on its own, leaving you a quick review pass instead of a full sitting.

Before You Start

  • You have QuickBooks Online (the browser or app version, not the older desktop product). Paid plan required, see Intuit's pricing page for current options: https://quickbooks.intuit.com/pricing/
  • You have at least a few months of transactions already categorized, since auto-categorize learns from your history
  • Your bank or card is connected to QuickBooks so transactions flow in automatically

Steps

1. Turn on auto-categorize

Go to All apps, then Accounting, then Bank transactions. If you see a message about saving time with auto-categorize, select See how it works, then See a preview to view sample transactions and how QuickBooks would categorize them.

2. Confirm the setting

After reviewing the preview, choose Yes, categorize familiar expenses for me if the suggestions look right, or No, I'll categorize everything if you would rather keep full manual control. Select Confirm either way.

3. Let it run before you review

QuickBooks will not touch every transaction. Money coming in, and contextual expenses like loans, owner's draws or transfers, always wait for you. Anything already covered by a rule you built yourself takes priority over auto-categorize. Everything else that QuickBooks recognizes with high confidence gets sorted automatically.

4. Check the auto-categorized batch

In Bank transactions, open the Categorized tab and filter for Auto-categorized. Scan the list for anything that landed in the wrong bucket, a personal purchase that slipped into a business category, or a new vendor QuickBooks guessed at. Click the category to fix it, or select Undo to send a transaction back to For review.

Real Example

Scenario: A photographer's card statement for the month includes a camera strap from an online retailer, a monthly editing software renewal, and gas for a shoot two towns over.

What you do: Open Bank transactions and check the Categorized tab. The editing software renewal and the familiar retailer purchase are already sorted correctly from past months. The gas charge needs a manual nudge toward Vehicle Expenses since it is the first one from that particular station.

What you get: Most of the month's bookkeeping already sorted, with a five-minute review pass instead of categorizing every line by hand.

Tips

  • Turn auto-categorize off anytime from Bank transactions, using the Settings gear and the Familiar expenses switch, if you ever want to go back to categorizing everything yourself.
  • Review categorizations before relying on them for a tax filing. A pattern-matched category is a starting point, not a verified deduction.
  • Correcting a wrong category teaches the system for next time, so a few weeks of careful review pays off in fewer corrections later.

Tool interfaces change. If a button has moved, look for similar AI/magic/smart options in the same menu area.
